1. What Data We Collect

Account and Profile Information

  • Google ID (for Google Sign-In users)

Research Source Data

  • Uploaded files (PDFs, images, audio recordings)

  • AI-extracted text and structured content from your sources
  • Source metadata (titles, authors, publication year, DOI, journal, abstract)
  • Source type classifications and processing status

Project and Organization Data

  • Project names, descriptions, and settings
  • Tags and categorization structures
  • Source-to-project associations
  • Reading status and favorites

AI-Processed Content

  • AI-generated summaries and key findings
  • Extracted concepts, theories, and terminology
  • Synthesis documents (literature reviews, gap analyses, thematic analyses, methodology comparisons)
  • Writing drafts and AI-assisted content
  • Ask AI conversation history and responses

Annotation Data

  • Highlights and selected text passages within sources
  • Personal notes attached to sources or highlights
  • Annotation colors and categorization

Audio and Video Content (Optional Features)

  • Audio recordings (lectures, seminars, meetings)
  • Audio and video transcriptions
  • Recording duration and file metadata
  • YouTube video URLs you choose to capture

Browser Extension Data

When you use our browser extension:

  • What is Captured: Web page content you explicitly choose to save, page URL, page title, access date
  • What is NOT Captured: Browsing history, cookies, passwords, form data, or any content you do not explicitly select
  • Local Storage: Authentication tokens are stored locally in your browser

Citation and Export Data

  • Generated citations in various formats (APA, MLA, Chicago, IEEE, Harvard, Vancouver)
  • BibTeX entries and cite keys
  • Exported documents and bibliographies

Device and Usage Information

  • Device type, operating system, app version
  • Anonymous device identifiers (not advertising identifiers)
  • App feature interactions (e.g., screens viewed, sessions, engagement time)
  • Performance metrics and crash reports
  • Credit consumption and usage patterns

Workspace and Team Data

  • Workspace name, type (personal or team), and creation date
  • Workspace membership records (user ID, role, join date)
  • Workspace-level credit usage and storage metrics
  • Team workspace invitations and membership changes

Session and Security Data

  • Session cookies (encrypted, with expiration)
  • Rate limiting records (request counts per user for abuse prevention)
  • Authentication event logs (sign-in, sign-out, session creation)

Billing and Subscription Data

  • Subscription tier and status

  • Payment processing is handled by third-party providers; we do not store payment card details

Biometric and Security

  • Biometric authentication status (Face ID/Touch ID/Fingerprint enabled/disabled)

Application Improvement

Communication

  • Send processing completion notifications
  • Send credit usage and subscription alerts

Where Your Data Lives

  • Research Content: Stored on cloud servers with encryption

  • AI Processing: Processed by third-party AI providers when AI features are used
  • Source Files: Stored in secure cloud storage
  • Local Cache: Downloaded content may be cached locally for offline access

  • Encryption for stored and transmitted data
  • Biometric authentication (Face ID/Touch ID/Fingerprint) for application access on mobile

We use third-party services to provide Kognific:

Authentication Services

Purpose: User account management and secure sign-in
Data Shared: Email, user ID, authentication tokens
Sign-In Options: Email/password, Google Sign-In, Apple Sign-In

Cloud Infrastructure Services

Purpose: Data storage, synchronization, and real-time updates
Data Shared: Your research content, sources, projects, annotations, and attachments

AI Processing Services

Purpose: Power AI features for source extraction, summarization, concept extraction, synthesis, and conversational Q&A
Data Shared: Source content (text, audio, video) when AI processing is triggered
Note: Your content is processed solely to provide the service to you. It is not used to train AI models.

Video Metadata Services (Optional)

Purpose: Retrieve video information for YouTube content capture
Data Shared: YouTube video URLs you choose to capture

Subscription Management

Purpose: Handle premium subscriptions and billing
Data Shared: User ID, subscription status, credit usage, purchase history

Platform Services

  • Apple Services (iOS): App Store purchases, Sign in with Apple
  • Google Services (Android): Play Store purchases, Google Sign-In
  • Web: Payments processed through third-party payment processors (we do not store card numbers)

Analytics Services

Purpose: Understand application usage patterns, measure feature adoption, and improve application quality
Data Shared: Anonymous device identifiers, application interaction events (e.g., screens viewed, session duration), device type, operating system version, and application version
Note: Analytics data is collected in aggregate and is not linked to your identity. We do not use advertising identifiers or track you across other applications or websites.

Email Services

Purpose: Deliver transactional, product update, and marketing emails
Data Shared: Email address, name, and email engagement data (e.g., delivery status, opens)
Note: You can unsubscribe from marketing emails at any time. Transactional emails (e.g., account security, subscription changes) will continue while your account is active.

DOI and Metadata Services

Purpose: Look up and enrich source metadata (titles, authors, publication details)
Data Shared: DOI identifiers, source metadata queries
Note: Only metadata identifiers are shared; your source content is not transmitted to these services.

5. Data Sharing

We do not sell your personal data.

We may share data with:

  • Service providers for application functionality (as described in Section 4)
  • Aggregated, anonymized statistics for application improvement
  • Law enforcement if required by valid legal process
  • Business transfer in case of merger or acquisition

6. Your Privacy Rights

Access and Control

  • View and export your research content
  • Edit or delete any source, annotation, project, or synthesis document
  • Delete your entire account and all associated data
  • Correct any inaccurate information

Communication Preferences

  • Enable/disable push notifications
  • Control notification types (processing alerts, credit usage warnings)
  • Unsubscribe from marketing and promotional emails at any time via the link in each email
  • Opt out of product updates
  • Note: You cannot opt out of transactional emails (e.g., account security, subscription changes) while your account is active

Data Deletion

To delete your account:

  1. Go to Settings > Account
  2. Select “Delete Account”
  3. Confirm deletion

Your data will be removed within 30 days from our systems.

Data Visibility in Team Workspaces

If you are a member of a team workspace, be aware of the following:

  • Sources, projects, synthesis documents, drafts, and other content you create within a team workspace are visible to other workspace members according to their role
  • Workspace Owners and Admins can view and manage all content within the workspace, including content created by other members
  • Your workspace activity (e.g., sources added, credit usage) may be visible to workspace Owners and Admins for workspace management purposes
  • If you leave or are removed from a team workspace, content you contributed remains in the workspace and continues to be accessible to other members
  • Your personal workspace remains private and is not visible to any team workspace you belong to

7. Data Retention

Active Accounts

  • Research content: Retained as long as you use the application
  • Authentication data: Until account deletion
  • Credit usage history: Retained for billing and audit purposes while your account is active
  • Ask AI conversation history: Retained as long as your account is active; you may delete individual conversations at any time
  • Rate limiting records: Retained temporarily for abuse prevention and automatically purged

After Account Deletion

  • Account and research content: Deleted within 30 days
  • Anonymized analytics: May be retained indefinitely
  • Legal obligations: Data may be retained as required by law

8. Children's Privacy

Kognific is not intended for children under 16 years of age (or the minimum age of digital consent in your country, whichever is higher). Users under 16 may not create an account or use the application. We do not knowingly collect personal information from children under 16. If we discover that a child under 16 has provided us with personal information, we will delete it immediately.
